Clear & Upfront

Restricted Key Systems Canberra

Every standard key on your premises can be copied at a hardware store, by anyone, with no questions asked. A restricted key system puts you back in charge. We design a key structure around how your business runs, rekey your doors to a protected profile, record every key in a professional register and support the system as your team and premises change. Only copies you authorise can ever be made.

How Authorised Key Duplication Works

A restricted key uses a protected profile that standard key machines cannot cut. Duplicates are generally produced only by an authorised locksmith, and only when the business owner or a nominated signatory approves the request. A staff member cannot walk into a key-cutting kiosk and walk out with a copy.

When you need another key, the process is simple:

  1. The owner or nominated signatory requests the key from us.
  2. We confirm the request against the authority you have set up.
  3. We cut the key and record it in your key register against the person receiving it.

The result is a known number of keys, each one tied to a named holder, and no copies circulating that you did not approve.

Restricted Key System Design

A good system starts with how your business actually runs, not with a box of locks. Before we recommend anything, we work through:

  • Doors: how many doors, gates and internal areas need to be included
  • Access levels: whether every door should open on one key, or different people need different access

  • Key holders: how many staff, managers, cleaners and contractors need keys now, and how that number may grow
  • Existing hardware: which locks can be rekeyed to a restricted profile and which need replacing
  • Tenancy: whether landlord or owners corporation approval is needed before work on leased or shared premises

From there we design the simplest key structure that meets your needs. Simple matters: fewer key types means fewer mistakes, easier handovers and lower ongoing costs.

Professional Key Registers

Every key in your system is recorded in a key register we manage with specialised software. At any time you can find out:

  • Who holds each key
  • Which doors that key opens
  • When it was issued
  • Which keys are due back when someone leaves

We also help you set up a controlled issue process for issuing, recording and returning keys. Handovers are documented, and nothing slips through the cracks when rosters change or a manager is away.

Master Key Integration

Restricted keys and master keying work well together. For premises with several doors, a master key system sets different access levels while keeping every key on the protected profile:

  • Master key: owners or managers open every door included in the system
  • Sub-master keys: supervisors open a group of areas, such as one floor or one department
  • Individual keys: staff open only what they need, such as the front entry or stockroom, but not the office or cash room

Because every level uses restricted keys, no one can copy a master key and hand it on. If you are weighing up access levels across a larger site, see our Master Key Systems Canberra for how we plan layered access.

Managing Staff Changes

Staff turnover, casual rosters, cleaners and contractors all put pressure on traditional keys. With standard keys, every departure raises the same question: did they make a copy? A restricted key system answers it.

  • New starters: request an authorised key, and we issue it and add it to the register
  • Role changes: adjust which key a person holds so their access matches their new duties
  • Departures: your register shows exactly which keys to collect on the last day
  • Lost or unreturned keys: we rekey the affected locks so the missing key no longer works, and update the register

Offboarding becomes a quick checklist rather than a guessing game.

Properties That Suit Restricted Key Systems

Restricted keys suit any property where several people hold keys and you need to know who can get in. They need no power, Wi-Fi or batteries, so they also suit older buildings and sites without network access.

Property Why restricted keys help
Offices Control who reaches meeting rooms, records storage and server cupboards, and recover keys cleanly when staff leave
Retail Stop casual and rostered staff copying keys, and keep stockrooms and cash areas limited to managers. Suits tenancies from the Canberra Centre precinct to suburban shopping strips
Strata Give owners corporations a record of who holds keys to common areas such as foyers, car parks, bin rooms and plant rooms
Real estate Help agencies and property managers track keys to managed properties, with copies made only on authority
Warehouses and workshops Separate loading docks, stores and offices on industrial sites in Fyshwick, Hume and Mitchell, and control access for drivers and contractors

Not sure if your property is a good fit? Call us and we will talk it through.

Installation: From Quote to Keys in Hand

  1. Site assessment: we review your doors, existing locks and who needs access.
  2. Upfront quote: you receive the confirmed price or price range before any work starts.
  3. System design: we map out the key structure, including any master key levels (link: /master-key-systems-canberra/).
  4. Rekey or fit locks: we rekey existing locks to the restricted profile wherever the hardware allows, and replace only what we must.
  5. Issue keys: each key is handed to its holder and recorded.
  6. Set up your register: your key register and issue process are ready from day one.

Rekeys, upgrades and installations are typically completed within 1 to 3 business days. Early morning work is available depending on the job; call to discuss. After-hours installation is not available.
